Clinical trial logistics covers the full journey of supplies: from packaging, comparator sourcing and storage to depot management, distribution and final reconciliation. Each step must be compliant with GDP, GMP and its interface (where applicable) with GCP requirements, while flexible enough to adapt to unpredictable patient enrolment and variable site demand.
KLIFO provides end-to-end logistics oversight. We work closely with IRT/RTSM providers, and manage exceptions such as temperature excursions, customs delays and emergency resupplies. By anticipating risks and acting quickly, we help sponsors maintain uninterrupted patient treatment. Interruptions to patient treatment as a result of shipping delays can lead to patients being lost from clinical trials which can result in high replacement costs and reputational damage. Lost patients can also delay trial completion, potentially impacting on approval timelines for new products.

Through our network of qualified depot partners, KLIFO provides local storage and supply capacity, helping sponsors reduce courier costs, shorten order-to-delivery lead times and simplify customs clearance. However, setting up depots in every country is no always cost-effective, especially is countries where there are few clinical sites and/or patient recruitment is expected to be low. KLIFO works with our clients to develop protocol-specific distribution strategies delivering the right balance between direct-to-site shipments, regional depots and in-country depots.

KLIFO manages a qualified global depot network. We handle depot selection, RFIs, audits, contracts and KPI reporting to ensure compliance and performance. We also establish backup depots to safeguard continuity if a preferred depot faces capacity constraints or operational issues.

As trials expand into more countries, global depot networks become essential. A well-designed network can help reduce courier fees, decrease workload associated with importing product into countries with complex customs requirements, and reduces order-to-delivery times. Poorly planned networks, on the other hand, can tie up inventory, increase costs and raise the risk of product shortages.
KLIFO supports sponsors in building the most efficient setup. Whether through regional depots, in-country hubs or hybrid models, we design strategies that balance cost, speed and risk – always aligned with regulatory requirements and patient needs.
Example: Shipping 200 patient kits directly from Denmark to Australia could cost ~€200,000. By sending one bulk shipment to an Australian depot (~€10,000) and distributing locally (~€500 per shipment), total costs fall to ~€120,000 – a 40% saving.

Hybrid rare disease study:
A biotech sponsor faced high costs and limited inventory because their provider insisted on depots in every country. KLIFO created a hybrid model: direct-to-site from Denmark for Europe, regional depots in the US and APAC, and in-country depots only in China, Japan, Brazil and Argentina. The result: 30% lower inventory requirements and significantly reduced logistics costs.

Fast market entry in China:
